This is the planning thread.



Spelling of the name is TBD.

I think if this is "actually going to happen" whichit is or GTFO :colbert: we need to start our advertisements for it ASAP.

I'd really like to know the details of what all was planned after I left on account of the fact that I spoke with Ted, Yost, Beek and myself (no caps) and no one knew the dates and/or how many races there were going to be.

We need to work out the entrance fees (which should be comparable to what a USAC race would cost (maybe?) so that people aren't feeling gouged WHEN it becomes USAC. Are we going to offer discounts for the series entry, are we going to offer a series purse, are we going to offer individual prizes?

In my head the way it would make the most sense to me is:
1. Host a series and offer a discount. So it should be (relatively) very expensive to do individual races, but very cheap to do the series. Example: 3 total races. Entry for an INDIVIDUAL race is $17 but if you enter the series you get $30 and a shot at the series purse.

Reasons: That way, people will be more inclined to register for all the races and we won't lose money if the weather blows. Also, we're enticing people to come out and do all the races. Having an individual entry fee that is more than half of the series fee (for 3 races) means in people's heads they'll say "well I can pay $30 now, or save $13... but if I like it and want to race again next week, then It's going to cost me $34 and I still won't be in on the purse unless I throw down another $17 for the third race" if that makes sense. Essentially, make it look like the wise choice is to pre register for all 3 races.

2. Have a series purse. The only individual prizes would be schwag (if we can get any). Maybe a very small purse? But it'd have to be VERY small as I'd LOVE to see some DEEP cash prizes for the series podiums.

3. What categories? Like beginner 1 lap, Advanced 3 laps? Beek and I (or any of the UNDCC high up guys) know the crowd pretty well and we could easily sort out if someone is sandbagging. If people come from out of town though, it gets harder.

Hmm... those are my immediate thoughts.

I think we need to get a flier and start advertising for this IMMEDIATELY. That way we can get the most coverage for it?

Someone should be working the angle about how fucking AWESOME it is to watch cross races too. In planning, we'll want the obstacles and such to be near the "crowd" so as to maximize how much people see the actual racing.

Also... those are just my ideas. Nothing I'm saying should be taken as me saying YES THIS IS HOW ITS GOING TO BE. I'd love some constructive criticism.

Ted and I spoke this evening and are planning on going out to scope some places for a course. We've planned for friday which is I'm assuming a fun ride day. Anyone can come, but we may move stuff around to accommodate the fun ride and psychocross planning.

I'm emailing Kim G. right now to talk about Greenway possibilities.

Gyudon had a great idea last night after the meeting of contacting food vendors who might want to show up.  This is one thing I didn't ask about down at the Red River Bicycle Festival, but they had the Lion's Club all set up grilling hotdogs and other sorts of foodiness.  I assume that since they (I think it's them) set up at the farmer's market all summer, maybe they'll be open to coming out and fooding people at cx races in the late fall.  In any case, this falls under "event sponsorship" which needs to be worked out, optimally before the flyers are finalized.

One other thing we talked about last night was following the USAC rulebook even if we don't run a USAC race.  This keeps everything smooth, we're following a published set of rules, and Ted can't build barriers that are higher than 40 cm (not that I don't think haybale runups would be awesome).

Also, I looked at the MN schedule (ND and SD have nothing going on at all).  The only CX races currently scheduled are the Blaine race (the 6th), the U of M race (the 7th) and the MN State CX Championships.  We'll lose some people because it's Halloween, but we could get a decent Fargo crowd because we're the (cough) only race in town.  For the new guys who don't know how to figure this stuff out: http://www.usacycling.org/events/index.php

If someone wants to work on a brief cover letter stating what we're planning and how we would appreciate donated items for prizes (I think series and individual prizes are good DC), try to get it up today.  I'll be working on the "thank you" things for current sponsors.

Got a reply from Kim G.  No mention of insurance, but we do need to submit a special events form (attached).  We will need to include a map of the course and know if we are going to have food vendors.  This form needs to be submitted no later than 15 days before the event, so it is due October 15th with all pertinent information if we are going to hold races on the Greenway or parks.

That all said then, I suggest that we (you, me, Ted at least) and anyone else go course hunting on Friday for the "fun ride extension"

If people are available earlier, I can be ready to go at about 3/310 we can go course hunting and then meet up with the fun riders and go grab some eats and get many (if not all) of these details hammered right the heck out.

If not, I can go pretty much anytime on friday except from 2-3.

A course and many if not all of the finite details were hammered out this evening in a preliminary fashion.

just received a question asking if all the races lasted till 8:30 pm because on the facebook event, it says it starts at 2 pm and ends at 8:30, then the one on November 7th says it starts at 3 and ends at 11 pm. I said I didn't think it would go on that long.......... lol, but thought I should ask before I gave them the wrong answer??

What? 30/45 at LEAST.

Lauren... It would be safe to say that a beginner could expect a race to run about 30 minutes and someone that is not a beginner shouldn't anticipate longer than an hour.

Who has ideas for locales for the second and third 'cross races?  I need to submit special event forms for those as soon as possible to make sure we can get the space.

Also, we need some sort of standard name for this series: "UND Fall 'Cross Series"?  "Dirty Toe'ds Fall 'Cross Series"?  Something good so people can associate things together when they're remembering this for next year.

2. I think we should probably just file event permits for the greenway  (does this cost money?) and anticipate utilizing possible other courses right there.
3. Having one at turtle river might be sweet, I don't know ho high the grass is or whatever, and I don't think we have the commitment to make it happen (somehow, still).

It doesn't cost money to do a special events form, but they do want a map of the area we intend to utilize.  This seems to be the most important thing.

Boom. You're using Logans MTB. This is because we like you. But it weighs like 600lbs. So the good news is... 1. If you break it, no one will care. and 2. If you win, we'll all be incredibly impressed.  :evil6:

I have a commitment from a certain someone to come throw marshmallows/heckle/laugh at us puking at the Nov. 7 and 14 races.  Its gonna be awesome. Unfortunately, she is not available for the Halloween race.

Only place you can legally race fixed is at the track. So while yes it would be way fun, the safety is too great of a risk to make the exception. Fixed gear is illegal.

Also, damn beek. I forgot you were broken still. That said. Ted is officiating then, and I'll expect you to be in costume as well.

I was talking to Andy tonight and he seemed to think holding the third race at TRSP would be a cool idea.  We can always ask people at the first race what they think of that idea.  Thing is, we would need insurance, crap.

Another idea he mentioned (and he probably isn't the only one) would be to run the course backward the second week to use the same space but make it new and exciting.  I'm definitely down for that.

Well the course will certainly be changed from week to week. We'll be moving obstacles, and changing some routing around. While I tend to agree that running a race at TR would be awesome... I just don't think we can commit the manpower to make that happen this year. If this event is well received (which it seems it is), then we can only move forward with it for next year.

While we should (and always will) welcome peoples suggestions, I can only hope that they understand that we are really trying here. These events aren't us just half assing some things. We're really putting in quite alot of effort. Which I'm sure they realize.

Still though... I think it would be great to have an MTB series AND a cx series. The cx series would split time between the greenway's 2-4 courses, and TR's courses.

Once we go USAC TR is basically perfect, because we'll have the insurance.

Just a heads up -- we'll be looking for volunteers to help keeping people from getting demolished crossing the race course AND show some encouragement for the people racing.  If you don't intend to race and would like to volunteer, please contact me so I can get your name on a list.  I'll be sending out an email to the whole list soon to advertise the race and find some volunteer support--perhaps your significant other (or that person you've been longing for all semester) would like to come out and help?

We'll also need additional volunteers to help set up the course (lots of turns=lots of tape and stakes), so if you're inclined in that direction, we can use your help.

Volunteers need to be there by 1 PM (if helping during the race) or even earlier (if helping set up).  We will let you know.

If you're one of the people who is thinking about racing in the spring (or anytime in the future), you are strongly encouraged to participate in the race.  As we've said before, we'll do our best to get you a bike if you don't have one, so that is not an excuse!  Post here and ask, PM me or Plaintains or Sanders or Alaska Unicyclist or anyone else you know has been around and let us know what you're thinking.

No. The only thing it would be used for would be registration since it isn't located anywhere that would enable us to use it.

I just made a post about how the scoring is going to work--does it make sense to everyone, or should we potentially modify it so it goes deeper?  The chart shown is from the USAC rulebook.

Kou, did you find a bike to ride yet?

If anyone who is racing wants to help set the course up beforehand, that's cool too, just let me know so I have some sort of count.  Otherwise it will be Ted and Dave and me doing it.

I checked anyway.  The weather looks okay so I think we can do without it.  This is good info for the last race, depending on whether it is snowing or not.

You would need to come down to our office at 1210 7th Ave S to complete a special use permit, pay the fee, and pick up the key for that day.

Also, friend. Danny Ja              ynes         (to prevent spybots) will be available to us from 1pm - 4pm and he is largely under the impression that he will be policing the greenway. Though I suspect he'd be willing to do what is necessary.
